Guidelines for Oral/Poster/Demo Presenters

There are mainly 3 types of presentations:

  1. 1. Oral presentation
  2. 2. Poster presentation
  3. 3. Demo presentation
They do not mean submission categories but actual presentation styles. For examples, some full paper authors will make both an oral presentation and a poster presentation. Some poster authors will make not a poster presentation but a demo presentation. Please look at the guidelines below according to your presentation styles.

1. Oral Presentation

A rehearsal room is available upon request from Sep. 30th to Oct. 3rd. Please reserve the room at the reception desk.

1.1 Presentation Time

  • S&T Full Paper: 25 minutes (20 minutes talk and 5 minutes Q&A)
  • S&T Short Paper: 20 minutes (15 minutes talk and 5 minutes Q&A)
  • MASH'D Paper: 25 minutes (20 minutes talk and 5 minutes Q&A)

1.2 Audio/Visual Equipment

Each presentation room will be equipped with a PC projector and an audio speaker system. You must bring your own PC and connect it to the projector and the speaker system. Here are available cables/connectors:

  • VGA cable with DE-15 male connector
  • HDMI cable with type-A standard connector
  • Audio Cable with stereo mini plug
  • AC 100V 60Hz Power with type-A socket: Reference web page

1.3 Preparation

Oral presenters should meet your session chair in your session room, during the break immediately before your session. Please check the connectivity of your PC with the projector and the audio system.

2. Poster Presentation

2.1 Presentation Time and Format

  • Each poster is assigned its own poster panel that can be used during three days of the main conference, which means that all posters can be displayed all the time during the 3 main conference days from 30 September to 2 October.
  • Two hours poster sessions will be allocated every day in parallel with demo sessions.
    • 30 Sep.: 16:25-18:25
    • 1 Oct.: 13:50-15:50
    • 2 Oct.: 13:30-15:30
  • Each poster will be assigned to one of poster sessions as its core time.
  • During this core time, authors must stand in front of the poster and explain their poster to audience.
  • All poster presenters may make a presentation every day in front of the poster. But because the physical space of the poster session is not large enough, there might be a physical conflict between adjacent posters. In this case, authors in a core time should take priority.

2.2 Poster Preparation

  • Authors must print their poster before coming to the conference and bring it to the conference.
  • The size of the panel for each poster is W900 x H2,100 [mm].
  • The best size of a poster for this panel is A0 portrait.
  • Posters larger than A0 or landscape posters might not be able to be displayed.
  • Authors also should bring thumbtacks in order to display their poster on the panel.

2.3 Teaser Session for Posters

  • Teaser session is a short talk session without Q&A to quickly introduce poster presentations.
  • Each poster will be assigned to the teaser session in the same day as the core time.
  • But poster presentations for S&T full/short paper authors do not have teaser talks because they will make oral presentations before the core time in the same day.
  • Presentation time of the teaser talks:
    • S&T extended poster: 3 minutes.
    • S&T poster: 1 minute.
    • MASH'D poster: 5 minutes.
  • Presenters should make a line in the presentation order along with the wall in the presentation room during the break before the session. The order can be confirmed in the final program.
  • Teaser talk presenters must keep the time. The slide will automatically switched for the next presenter just after the presentation time.

2.4 PowerPoint Slide Preparation for Teaser Session

  • Teaser talk presenter must submit their powerpoint slides by 28 September.
  • Since poster presentations for S&T full/short paper authors do not have teaser talks, they do not need to submit the slides.
  • Format: MS PowerPoint (.ppt / .pptx)
  • Pages: up to 2 pages (Normal Poster and Demo), up to 4 pages (Extended Poster)
  • Video: you can include a short video material (mpg / mp4).
  • You can use a template for one min presentation, but it is not mandatory to use the template: here
  • Maintain a 4:3 aspect ratio.
  • Upload your PowerPoint file to your submission account (PPT File for teaser session) in the precisionconference system.

3. Demo presentation

3.1 Presentation Time and Format

  • Two hours demo sessions will be allocated every day in parallel with poster sessions.
    • 30 Sep.: 16:25-18:25
    • 1 Oct.: 13:50-15:50
    • 2 Oct.: 13:30-15:30
  • On 30 September, the conference reception will be scheduled after the demo session on the same floor. Therefore demos can be continued during the conference reception.
  • S&T demo presenters are asked to show their demos every day in the demo sessions. But they may take a break in sessions flexibly.
  • MASH'D demo presenters must show their demos in the demo session on 1 October. But they may show demos in the demo sessions on other days as well.
  • Each demo space has a panel to display a poster. Please refer '2.2 Poster Preparation'.

3.2 Demo Preparation and Set up at the Conference Venue

All demo presenters are able to start demo preparation at 12:00 30 September.

3.3 Teaser Session for Demos

  • Teaser session is a short talk session without Q&A to quickly introduce demo presentations.
  • The teaser session for S&T demos is scheduled on 30 September.
  • The teaser session for MASH'D demos is scheduled on 1 October in the MASH’D session room.
  • But some demo presentations for S&T full/short paper authors might not have teaser talks because they will make oral presentations before the demo session in the same day.
  • Presentation time of the teaser talks:
    • S&T extended poster authors: 3 minutes.
    • Other authors: 1 minute.
  • Presenters should make a line in the presentation order along with the wall in the presentation room during the break before the session. The order can be confirmed in the final program.
  • Teaser talk presenters must keep the time. The slide will automatically switched for the next presenter just after the presentation time.

3.4 PowerPoint Slide Preparation for Teaser Session

  • Teaser talk presenter must submit their powerpoint slides by 20 September 28 September.
  • S&T poster authors and MASH'D paper/poster authors have to submit the powerpoint slides through PCS submission system.
  • S&T/MASH'D demo authors have to submit the powerpoint slides through easychair submission system.
